2. General Information on Data Processing

Protecting your personal data is important to us. Personal data means any information relating to an identified or identifiable natural person.

We process personal data in accordance with the GDPR, the German Federal Data Protection Act (BDSG), and other applicable data protection rules. We process personal data only to the extent necessary to provide this website, handle enquiries, or for other purposes described in this privacy policy.

This privacy policy explains what data we process on the RheinKabel website, for what purposes, on what legal basis processing takes place, and what rights you have.

3. Website Delivery and Server Log Files

When you visit our website, our web server automatically collects information and stores it in server log files. In particular, the following data may be processed:

• IP address of the requesting device
• date and time of access
• page or file requested
• referrer URL, where transmitted by the browser
• browser type and version
• operating system used
• HTTP status code
• volume of data transferred

This processing is carried out to technically deliver the website, ensure system stability and security, detect misuse or attacks, and analyse technical faults.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in the secure, stable, and reliable provision of our website.

Server log files are retained on the web server according to the configured rotation policy. Logs are currently rotated daily and 14 log files are retained. Log data is stored only for as long as necessary for the purposes stated above and for technical security, and is then deleted or anonymised unless a legal retention obligation or a security-relevant incident requires longer storage.

4. Contact Form and Email Contact

You can use the contact form on our website to submit product enquiries and other business-related messages. When you use the form, we process the information you enter as well as technical metadata generated in connection with the submission.

Form fields processed:

• name
• company
• email address
• telephone number
• subject
• message
• selected website language (German or English)

In addition, technical metadata may be processed when the form is submitted, in particular the IP address of the requesting device and the user agent of the browser used.

Processing is carried out to handle your product enquiry, reply to your message, prepare or perform pre-contractual measures, and prevent misuse and spam.

Depending on the individual case, the legal bases are:

• Art. 6(1)(b) GDPR where the enquiry relates to the performance of a contract or pre-contractual measures,
• Art. 6(1)(f) GDPR for the general handling of business enquiries, communication security, and misuse prevention.

Fields marked as required are necessary for us to process your enquiry and respond to you. Without this information, proper handling is generally not possible.

If you contact us by email outside the contact form, we process the personal data contained in your message, in particular your email address and the content of your communication, for the same purposes and on the same legal bases as when using the contact form.

5. Automatic Email Confirmation and Email Delivery

After a valid contact enquiry has been successfully submitted, our system sends two emails:

• an internal notification to the business email address responsible for RheinKabel, containing the details of your enquiry as well as technical metadata (timestamp, IP address, user agent, and language setting),
• an automatic confirmation email to the email address you provided, containing a summary of your enquiry (name, company, email address, telephone number, subject, and message).

Delivery is carried out via Google Mail (Gmail) email infrastructure using SMTP. Google, as the email service provider, may receive access to the transmitted content and technical connection data to the extent necessary for sending, delivery, and operation of the email service.

Please do not submit special categories of personal data within the meaning of Art. 9 GDPR or unnecessary sensitive information through the contact form unless this is required for your enquiry.

Depending on the technical configuration of the email service, processing may also take place outside the European Union or the European Economic Area. Where transfers to third countries occur, they take place only within the data protection framework provided by the respective service provider.

6. Spam Protection

To protect against automated and abusive form submissions, we use technical safeguards. These include a honeypot field that is invisible to human users and a limit on the number of permitted requests within a defined period (rate limiting).

Normal website visitors do not need to complete the hidden field. If it is nevertheless filled in, the submission is technically treated as automated and is not processed like a regular enquiry.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in protecting our website, our systems, and the integrity of the contact form against misuse.

7. Language Preference and Local Storage

The RheinKabel website stores your selected language (German or English) in your browser’s local storage under the key rk-lang.

The purpose of this storage is to retain your language preference when you revisit the website. The stored information is not used for advertising purposes and is not used for profiling or tracking.

Local storage is not a cookie from a technical perspective. You can delete stored local storage data at any time through your browser settings for website data, storage, or local storage.

The legal basis is Art. 6(1)(f) GDPR where storage is used to provide the website in a user-friendly manner.

8. Cookies

Cookies are small text files stored on your device that may contain certain information.

Without your consent to analytics cookies, the RheinKabel website does not set analytics or marketing cookies. Advertising cookies are not used.

If you consent to analytics cookies, Google Analytics 4 (GA4) may set first-party cookies and pseudonymous identifiers on your device (see Section 9).

Where technically necessary cookies are set in individual cases by the browser, web server, or hosting operation, these serve exclusively to provide or secure the website technically.

If you consent to analytics cookies, we use Google Analytics 4 (GA4), a web analytics service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, and/or, depending on processing, Google LLC, USA.

Consent and control

GA4 is loaded and executed only when you explicitly accept analytics cookies via our cookie notice banner. Without your consent, the Google Analytics tag is not loaded and no GA4 measurement takes place.

If you decline analytics cookies, GA4 remains fully disabled and no analytics data is transmitted to Google.

You can change your decision at any time via “Privacy settings” in the website footer.

Purpose and scope of measurement

GA4 is used for statistical evaluation of website usage in aggregated form, in particular pages visited, navigation, product views, and interactions with enquiry links. Measurement is pseudonymous; we do not intentionally transmit personal contact data from the contact form (e.g. name, email, telephone, company, or message content) to GA4.

Events captured include page views (page_view), product views (view_item), product enquiry link clicks (product_enquiry_click), language switches (language_switch), and contact link clicks (contact_click).

Advertising, personalisation, and Google Signals

Advertising cookies and ad personalisation are disabled. Google Ads is not enabled. Google Signals is disabled. In our Consent Mode configuration, ad_storage, ad_user_data, and ad_personalization remain denied.

Data sharing and Google services

Optional Google Analytics data sharing is disabled. Analytics data is not shared with Google for improving unrelated Google products. This website does not currently enable Google products & services data sharing, Google Ads, ads personalisation, or Google Signals.

Enhanced Measurement

Enhanced Measurement is disabled. Only the analytics events explicitly implemented on this website are measured (see “Purpose and scope of measurement”).

Cookies and pseudonymous identifiers

After consent is granted, GA4 may set first-party cookies and pseudonymous identifiers on your device to distinguish returning visits for statistical purposes. Without consent, no GA4 analytics cookies are set.

IP addresses

Network connections necessarily involve IP-level communication (e.g. by our web server and when loading external resources). Google states that GA4 does not log or store individual IP addresses in GA4. Measurement serves statistical, pseudonymous evaluation of website usage and should not be understood as fully anonymous.

Legal basis

Processing via GA4 takes place only after your explicit consent. The legal basis is Art. 6(1)(a) GDPR.

Where GA4 stores information on your device or accesses such information (e.g. cookies or pseudonymous identifiers), this also takes place only after your consent. The legal basis is § 25(1) TDDDG, where applicable in the German service context.

International data transfers

For the European service relationship, the provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

When GA4 is used, processing may also involve Google LLC and infrastructure outside the European Economic Area, including the United States. Google currently describes applicable transfer mechanisms for such transfers, including the EU-U.S. Data Privacy Framework where applicable and Standard Contractual Clauses where applicable. Retention in GA4

Our GA4 property is configured with an event data retention period of 2 months. This applies to event and user-level data stored in GA4 under that setting. Aggregated reports may remain available in GA4 beyond that period where Google provides them independently of event data retention.

No other web analytics or marketing tracking services such as tag managers, Meta Pixel, LinkedIn Insight Tag, or comparable services for reach measurement or profiling are integrated.

10. Fonts and External Resources

To ensure consistent presentation, the website loads the Barlow and Inter typefaces via Google Fonts. When you visit the website, your browser establishes a connection to Google servers (fonts.googleapis.com and fonts.gstatic.com).

Google may process your IP address and technical information about the browser and operating system used to the extent necessary to deliver the font files.

The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, and/or, depending on processing, Google LLC, USA.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in a consistent, professional, and readable presentation of our website.

Depending on processing by Google, a transfer of data to third countries, in particular the USA, cannot be ruled out. Where such a transfer occurs, it takes place within the data protection framework of the respective provider.

11. WhatsApp Link

Our website contains a link for contacting us via WhatsApp (wa.me). This is a standard external link and not an embedded social media plugin.

Simply displaying the link on our website does not establish a connection to WhatsApp or Meta and does not transmit data to WhatsApp.

When you click the link, you leave our website and are redirected to WhatsApp and/or Meta. Their privacy policies and terms of use then apply. Use of the WhatsApp link is voluntary.

The RheinKabel website currently does not embed social media plugins or embedded social media content (e.g. LinkedIn, Instagram, or X embeds) that would automatically transmit data to social media providers merely upon page load.

Within our company, personal data is processed only by authorised personnel who require access for their tasks.

In addition, personal data may be disclosed to the following categories of recipients where necessary for the purposes stated:

• hosting and server providers for website operation,
• email service providers for sending and receiving enquiries,
• Google as the provider of Google Analytics 4, where you have accepted analytics cookies,
• IT service providers and technical maintenance partners where required for operation, security, or support,
• authorities, courts, or other public bodies where we are legally obliged to do so.

Data is not disclosed for other purposes unless we are legally required to do so or you have given consent.

15. International Data Transfers

A transfer of personal data to countries outside the European Union or the European Economic Area may occur in particular in connection with email delivery via Google Mail, when loading Google Fonts, and when using Google Analytics 4 after consent has been granted, where service providers or servers outside the EEA are involved.

Where such a transfer takes place, it occurs only if the legal requirements are met and the necessary data protection safeguards are in place in the individual case.

We store personal data only for as long as necessary for the respective processing purposes or as long as we are legally obliged to retain it.

In particular, enquiry data may be stored to process your product enquiry, for pre-contractual communication, to comply with statutory retention obligations, to establish, exercise, or defend legal claims, and for technical security reasons.

Once the respective purpose no longer applies and no statutory retention obligation prevents deletion, data is deleted or anonymised unless deletion is incompatible with legitimate interests, such as the preservation of evidence.
